Your skills

  • 3+ years of experience (or equivalent) in relevant supervisory role
  • B2 English
  • Experience managing medium to large budgets within an organization
  • Demonstrated ability to promote and model teamwork

Your Tasks

Key Responsibilities:

 

Facility Management:

• Manage office supplies, equipment, and maintenance.

• Coordinate office layout and optimize space utilization.

• Maintain a clean and organized work environment.

• Handle incoming and outgoing mail and packages.

• Track office expenses and manage budgets.

• Support project teams with various administrative tasks.

• Coordinate meetings and events.

• Facilitate communication and collaboration between teams.

• Ensure all maintenance documents are up-to-date.

• Upload all receipts to Payhawk on a daily basis.

 

Administrative Support:

• Assist with the onboarding process for new employees.

• Issue and maintain records of employee badge access.

 

Travel Coordination:

• Manage travel arrangements for employees and oversee the travel team.

• Manage contract renewals and identify new vendor opportunities.

• Upload travel-related receipts to Payhawk daily.

 

Fleet Management:

• Review and approve invoices related to fleet services.

• Prepare monthly reports for Comm.fleet, Master 360, and WEX card fleet vehicles.

• Manage the ticket system for Fleet AMS.

• Oversee onboarding and off boarding for Motor lease and Enterprise Fleet leasing.

• Handle Motus onboarding and off boarding processes.

• Conduct quarterly fleet check-ins.

 

Mobile Services:

• Consolidate invoices for Verizon and AT&T and forward them to accounting.

• Maintain inventory of mobile devices.

• Manage onboarding and off boarding from ATT/Verizon platforms.

• Oversee the ticket system for mobile services.
